I hope you had a good start to your week and you are feeling bright and positive this Tuesday morning.
This is a short email course on spring cleaning your practice - 5 emails, one every day this week.
Let’s look at email today.
The goal: Have your email organised
The strategy: Create a system with 3 folders.
Reply (client email)
Unsubscribe (lists you don’t want to be on)
Archive (important emails for reference)
You may also like to create a ‘Follow up’ folder to keep emails you want to follow up with if you don’t see a reply. 💡
If your email box is currently too full for you to be able to consider doing this exercise, you can declare ‘email amnesty’ and simply do the following:
Click on ‘Select all’
Click on ‘Mark as read’
Archive everything dated before this month.
Then you can sort the email from the current month only into three folders as above.
You might notice this is a similar principle to the client notes system.
Here’s an email system I recommend.
First thing in the morning scan your email for anything that needs an immediate response.
Emails that need a reply but not straight away, add to your 'Reply’ folder to come back to later in the day.
I recommend you tidy up your emails like this every workday and try to be in the habit of getting in and out of email as quickly as possible generally.
Checking email just twice a day is a good habit to get into. Mornings to address anything important, and afternoons for non-urgent responses.
When you have time in the next couple of weeks, you can unsubscribe from anything in your ‘Unsubscribe’ folder.
The main thing is to keep your email system clean and clear going forward.
One last tip, create some template emails with responses that you send frequently.
Wipe and clean your computer screen and your keyboard and you’re all done. ✨
