This is a short email course on spring cleaning your practice, Tuesday - Friday this week, with the last one next Tuesday.
Client notes 🗃
Let’s start with client notes.
The goal: Have your client notes organised
The strategy: Sort them into 3 categories for review.
Current (seen in the last 3-4 months)
Recent/regular (seen in the last 6-12 months)
Past (not seen in the last year)
I tidy up my client notes like this every few months and I always learn something in the process. 💡
It gives me a chance to think about the profile of my ideal client, and also who has done well in homeopathy, and why that might be.
It also helps me realise which cases make my heart sink or who I realise was not a good fit for some reason.
When you’ve sorted them into three piles, you might want to archive the Past Clients’ files.
To start with you can put these in a dated box somewhere you don’t need to see them every day.
Eventually you might like to review them by ‘date last seen’ and shred them if you no longer need to keep them, or (as I do) have them collected by a secure data company to have them scanned and securely disposed of.
Either way, you should now be left with two piles.
Current clients
Recent/regular clients
These can all be kept together in your filing system.
The pile of Recent/regular clients could be a list of people to send a short ‘hello’ email to.
Reaching out to past clients to say hello is something I’ve been doing for years.
I regularly hear from other homeopaths who say that this strategy has been really helpful for them.
I so often receive a reply from a busy person saying:
‘You must be telepathic! I’ve been meaning to get in touch with you.’
One last tip - make sure you have plenty of client intake forms printed and ready for use. This is a good way to encourage a steady flow of new clients.
Wipe and clean your filing system, maybe spray with some space-clearing spray or essential oils and you’re all done. ✨

In August 2022 I stopped writing client notes on paper.
For the last 8 months I’ve used an Apple Pencil to write all my appointment notes using an app called GoodNotes on my iPad.
(Currently, Apple only, but the website says it’s coming to Android in 2023.)
It definitely took a good while to get used to it.
Now I’m in a routine of charging my iPad regularly and I love that I no longer have to hunt for notes as they are all in one place.
I could have gone over to typing notes but I prefer to hand-write them and the Apple Pencil makes that quite easy.
Going digital might not be for everyone, but I thought I would mention it in case it’s of interest to you. ✨
